Overview
The Depot Manager holds primary responsibility for overseeing the smooth, efficient, and cost-effective operations of the depot, ensuring the highest quality of service and product availability. This role involves leading and managing a team, maintaining stock and fleet oversight, and upholding company standards in all aspects of depot operations.

Reporting to: Operations Manager

Liaising with: Customers, Depot Managers, Customer Operations Desk, Service Desk, Field Service Engineers, Drivers, and Head Office Staff

The ideal candidate must have extensive experience in a similar role, demonstrates excellent leadership and communication skills, and is highly organised and motivated to maintain operational excellence.

Key Responsibilities:

  • Leadership and Team Management:
    • Manage, mentor, and motivate all depot staff, fostering a high-performance environment.
    • Conduct performance reviews, one-to-one meetings, and return-to-work interviews.
    • Oversee recruitment, including selection, interviewing, inductions, and employee development.
    • Conduct and organise regular Toolbox Talks, staff cover management, and holiday scheduling.
    • Facilitate investigatory and disciplinary hearings, addressing grievances as needed.
  • Operational Efficiency and Stock Management:
    • Oversee the availability and maintenance of all products and units under repair.
    • Order spares and maintain optimal stock levels, coordinating annual stock checks.
    • Perform weekly fleet audits and monitor daily job completions in Syrinx.
    • Carry out PDI final inspections and approvals.
  • Health, Safety, and Compliance:
    • Ensure adherence to company Health & Safety (H&S) policies and procedures.
    • Serve as a worker representative in H&S committee meetings, conveying staff concerns and suggestions.
    • Work with the EHS Manager on depot safety matters, including training, incident response, and equipment checks.
    • Oversee depot H&S management system, ensuring all equipment is maintained and serviced properly.
    • Monitor driving hours, ensuring driver compliance with Working Time Directive (WTD) and conduct regular tachograph checks.
    • Manage accident reporting, investigations, and lead safety observations.
  • Process Improvement and Project Participation:
    • Develop, review, and enhance depot processes (e.g., SOPs) to improve operational efficiency.
    • Actively participate in Company-wide initiatives, including projects aimed at achieving and maintaining ISO compliance, to support standardized quality and safety protocols across depot operations.
    • Actively participate in on-site, off-site, and virtual meetings with supporting departments (HR, IT, Technical, etc.).
  • Customer and Stakeholder Relations:
    • Act as the main point of contact for all customer inquiries routed through the Customer Operations Desk, addressing any questions or issues related to depot operations and ensuring timely, effective resolutions.
    • Collaborate with supporting departments, including Customer Operations Desk, Services, HR, IT, and Technical Support.

Requirements:

  • Minimum of 3 years’ experience in a similar role, ideally with a supervisory management qualification.
  • Demonstrated leadership and team management skills.
  • Effective planning, organizational, and problem-solving abilities.
  • Proficiency in Microsoft Officeâ„¢ programs.
  • Ability to work well under pressure and meet deadlines.
  • Strong written and verbal communication skills.

Additional Information:

The Depot Manager is also the keyholder for the depot and custodian of all company assets within the facility, ensuring security and accountability. This role is essential in driving operational success, maintaining service standards, and cultivating a safe and productive work environment for all depot personnel.
